Fire & Ice Heating and Air Conditioning - Terms of Service

Welcome to Fire & Ice Heating and Air Conditioning’s Online Scheduler. By booking an appointment through our online platform, by phone, or in person, you agree to the following terms and conditions:

1. Appointment Types and Services

Fire & Ice offers scheduling for the following types of HVAC services:

  • Service Appointments: For repair, diagnostics, or any issues related to your HVAC system.
  • New HVAC Equipment Estimates: Complimentary in-home estimates for new HVAC equipment installations.
  • Preventative Maintenance Appointments: Routine maintenance to ensure your HVAC system is operating efficiently.

2. Dispatch Fees

For Service Appointments, the following dispatch fees apply:

  • Standard Business Hours: A $99 dispatch fee will be applied for appointments scheduled during regular business hours.
  • After-Hours/Weekends: A $149 dispatch fee will be applied for appointments scheduled outside regular business hours or on weekends.
  • Holidays: A $198 dispatch fee will be applied for appointments scheduled on holidays.

Note: There are no dispatch fees for New HVAC Equipment Estimates.

3. Preventative Maintenance Terms

Customers who are part of Fire & Ice’s Maintenance Plan enjoy exclusive benefits for their Preventative Maintenance appointments on a bi-annual basis:

  • Routine Maintenance Tune-ups: These appointments ensure your HVAC system is operating to the best of its ability and help prolong the life of your equipment.
  • No Charge for Available Maintenance Visits: Maintenance plan members with an active plan and in good standing will receive their tune-ups at no charge. Members who have a maintenance visit available will not be charged on the day of their scheduled visit. If additional repairs or services are recommended during the visit, a separate estimate will be provided for approval.
  • Scheduling: Maintenance visits should be scheduled in accordance with your maintenance plan agreement. Fire & Ice will provide reminders for upcoming visits, but it is the responsibility of the member to ensure that their visits are scheduled before plan expiration.
  • Without a Maintenance Plan: Preventative Maintenance Tune-Ups booked without an active Maintenance Plan will incur a $129 fee for the service.

4. Appointment Confirmation and Reminders

Once you schedule an appointment, you will receive confirmation via your preferred method of communication (email, SMS, or phone). Reminders will be sent prior to your scheduled time. It is your responsibility to ensure that we have up-to-date contact information on file.

5. Payment and Cancellation Policy

  • Payment for the dispatch fee is due upon the technician's arrival.
  • Cancellations or rescheduling of appointments must be done at least 24 hours in advance to avoid any charges.
  • If a service appointment is canceled with less than 24 hours’ notice, Fire & Ice reserves the right to charge the applicable dispatch fee.

6. No-Show Policy

If a technician arrives at your property and is unable to complete the service due to your unavailability or inability to grant access, a "no-show" fee may be applied. Repeated no-shows may result in the suspension of scheduling privileges.

7. Service Delays

While we strive to keep our appointments on time, unforeseen circumstances (such as emergencies or weather conditions) may cause delays. In such cases, we will notify you as soon as possible and work with you to reschedule your service if needed.

8. Terms of Service for Estimates

  • Estimates for new HVAC equipment are provided free of charge.
  • Estimates are non-binding and valid for 30 days from the date of the estimate, unless otherwise specified.
  • Fire & Ice Heating and Air Conditioning reserves the right to withdraw or modify estimates if changes to the scope of work or pricing occur.

9. Liability and Warranty

  • Fire & Ice technicians are licensed, insured, and committed to providing high-quality service. However, Fire & Ice is not responsible for any damage to property unless directly caused by our negligence or misconduct.
  • All repairs and installations completed by Fire & Ice come with standard warranties as outlined in your service agreement. Additional extended warranties may be available upon request for a nominal fee.

10. Customer Responsibilities

  • Ensure clear access to HVAC systems for our technicians.
  • If an issue arises during your appointment that requires additional repairs or parts, our technician will provide an updated estimate for your approval before proceeding with the work.

11. Privacy and Data Protection

Fire & Ice Heating and Air Conditioning is committed to protecting your privacy. Personal information collected through the online scheduler will only be used to facilitate your service appointment and will not be shared with third parties without your consent.

12. Acceptance of SMS and Email Marketing

By providing your phone number and email address when scheduling a service, you consent to receive marketing communications from Fire & Ice Heating and Air Conditioning via SMS and email. These communications may include promotional offers, discounts, company updates, and reminders for future services. You can opt out of marketing communications at any time by following the unsubscribe instructions included in the message or by contacting us directly. Opting out will not affect appointment confirmations or service-related messages.

13. Changes to Terms

Fire & Ice reserves the right to modify these terms of service at any time. Changes will be posted on our website and will be effective immediately upon posting.

By using our online scheduler or booking an appointment, you acknowledge that you have read, understood, and agree to the terms outlined above.
